Position Overview:  

The Purchasing Agent serves as a key operational link between internal teams, vendors, and logistics partners to ensure the timely and accurate procurement of products. This role manages the purchasing lifecycle—from purchase order creation through delivery—while maintaining accurate system records, coordinating cross-department communication, and resolving supply chain issues as they arise. 

The Purchasing Agent helps ensure products are ordered, tracked, and delivered efficiently while supporting evolving operational needs. Success in this role requires strong attention to detail, urgent/proactive communication, and the ability to manage multiple priorities in a fast-paced environment. 

Location/Work Style: 

Please note this is a Full-Time, Hybrid position at our Santa Cruz, CA. headquarters, but we are open to remote possibilities for the right candidate. 

Procurement & Vendor Management 

  • Plan and manage product orders for seasonal buys, SMUs, and replenishment as assigned. 
  • Create, issue, and manage purchase orders (POs). 
  • Resolve purchase order discrepancies. 
  • Monitor order status and vendor lead times to support on-time delivery. 
  • Serve as a liaison between vendors and internal departments including Sales, Development, Warehouse, and Logistics. 
  • Ongoing vendor communication and collaboration. 
  • Maintain vendor relationships and resolve order discrepancies, returns, and credits. 
  • Assist with onboarding and evaluating new vendors. 
  • Track vendor performance metrics and lead time trends. 

Inventory, Logistics & Order Fulfillment 

  • Coordinate with logistics partners on shipment planning and tracking. 
  • Review and approve vendor routing requests and shipping documentation. 
  • Coordinate with internal teams to align purchasing with production schedules, inventory needs, and customer requirements. 
  • Support forecasting and demand planning activities. 
  • Assist with inventory planning and replenishment strategies. 
  • Support inventory analysis and purchasing forecasts. 
  • Review WIP and incoming shipment reports to identify and resolve order issues. 
  • Review excess inventory for potential repurposing. 
  • Ensure adherence to customer packaging and compliance requirements. 

Systems, Reporting & Financial Coordination 

  • Maintain accurate purchasing and inventory records within internal systems. 
  • Review and resolve shortage reports and order discrepancies. 
  • Perform routine audits to ensure inventory accuracy and proper PO closure. 
  • Prepare purchasing and supply chain performance reports. 
  • Coordinate with Accounting and Accounts Payable to ensure vendor invoices are processed accurately. 
  • Manage invoice approvals, credit memos, and return authorizations.  

Requirements & Qualifications 

  • Experience in purchasing, procurement, or supply chain operations. 
  • Understanding of purchasing workflows including POs, lead times, vendor management, and order lifecycle. 
  • Familiarity with inventory systems, BOMs, and supply chain reporting. 
  • Strong attention to detail with excellent organizational and time management skills. 
  • Strong communication skills for working with internal teams and vendors. 
  • Analytical mindset for reviewing reports and identifying potential supply chain issues. 
  • Proficiency with Microsoft Excel and Microsoft Office. 
  • Experience with procurement or inventory systems preferred. 
  • Familiarity with tools such as Microsoft Teams, OneDrive, Asana, PTW, or Power BI is a plus. 
  • Bachelor`s degree in Business, Supply Chain, or related field preferred.
