Wildlands Studies seeks a part-time office assistant with experience and a strong background in university administration, higher education, study abroad and/or environmental education.

Renowned for its accredited researched-based undergraduate field programs, Wildlands Studies offers field based environmental science programs to undergraduate students on academically rigorous, wilderness-based six-week and two-week field study programs to explore habitats and cultures of specific USA-based and international locales. Students earn 15 quarter credits for three field classes covering Environmental Studies, Field Research Practices, and Environment and Culture taught by a qualified instructor responsible for seminars, lectures, instruction, guided field work and field methods, assessment of all student work, group dynamics and program logistics. Most participants are undergraduates who join us on site from all over North America and Canada. Position Qualifications

  • 3-5 years office experience in university administration, higher education, study abroad and/or environmental education or working directly with undergraduate students. Ideally, candidate has participated in a study abroad program as an undergraduate.
  • Excellent people and communication skills; able to establish professional rapport and build relations with university faculty, parents and students; computer and web management skills; clerical skills; database management experience; marketing knowledge; excellent telephone skills and rapport; and analytical skills required.
  • Easy going personality, willing to take on any number or type of task, able to use humor and diplomacy when working with others. Must be flexible, and able to work in non-traditional/home office work environment.
  • Must be self-led and able to work independently. Able to take on increasing independent responsibility. Able to maintain confidences.
  • BA/BS degree. 3-5 years office experience minimum.
  • This position may be split between Wildlands Studies office in Aptos, CA and candidate’s home office. Must be able to travel to Aptos, CA on regular, weekly basis and also have home office available for working from home.

Position Responsibilities

Wildlands Studies seeks part-time office assistant with a strong interest or background in university administration, study abroad, environmental education, direct management of university students, and/or the outdoor recreation industry. Under the direction of the Director, this position is responsible for many day-to-day office duties as well as specific tasks including student applications, parent/student inquiries and interactions, application interviews, program preparation and management, contracts, database management, and university relations and campus outreach. This position will start out as an 15 hour per week non-benefited year-round position located in our home office in Aptos, CA and likely progress to a 20 hour per week non-benefited position split between candidate’s home office and our Aptos office.

Specific Duties include:

  • Assist with day-to-day operations including: answer phone calls, respond to inquiries, respond to mail, track program enrollment, and other general office tasks such as mailings, photocopying, office supply purchases, etc. Tasks related to managing a small office.
  • Respond to and track program enrollments. Review applications and acceptances. Respond to parent and student inquiries regarding projects or preparation for participation. Conduct student interviews. Accept payments. Track student paperwork required for participation.
  • Prepare documents for program preparation working with team of instructors. Requires proof-reading and editing program materials. Draft employment contracts and track program staff.
  • Maintain enrollment database of participant registrations, correcting entries, drawing reports and assisting with general upkeep.
  • Coordinate annual mailing of posters and catalogs to universities across the US & Canada.
  • Update website annually with new program information, photos and changes to information. Support marketing and outreach efforts as required. This position may also be asked to work with Field Studies Advisor and Campus Visit Coordinator to support our outreach and recruitment efforts.
  • Additional clerical duties as needed and as gain experience.

Dates of Employment & Compensation

Starts January 17, 2022. Wildlands Studies is located in Aptos, CA. Office Assistant must be able work on-site up to 15 hours per week on a specific schedule: Tuesday, Wednesday, Thursday, 10am to 3pm.

Pay rate: $28-32 per hour depending on experience, 15 hours per week, set schedule Tuesday, Wednesday, Thursday, 10am to 3pm., in our home office in Aptos, CA.
